4. Procedure for Appeals and Complaints
4.1. Preparing Your Complaint or Appeal Submission
When submitting a complaint or appeal, please include:
- A detailed description of the issue, including relevant dates, names, and locations.

- Any correspondence related to the complaint or appeal.
- A clear statement of the outcome or solution you seek.
4.2. Initial Acknowledgement and Review
Upon receipt, your appeal or complaint will be:
- Logged in our central register for record-keeping.
- Assigned to a senior staff member who will act as your point of contact.
Within 3 working days, you will receive a written acknowledgement confirming receipt and outlining the next steps. You may be asked to provide additional information or clarification at this stage.
4.3. Investigation Process
The assigned staff member will review and investigate your case. The investigation process is typically completed within 5 working days, though complex cases may require additional time. During the investigation, you are welcome to contact the staff member if you have any questions or wish to receive an update on progress.
4.4. Conclusion and Outcome
Once the investigation is complete, the staff member will:
- Contact you to discuss the findings and any actions to be taken.
- Confirm whether the issue has been resolved to your satisfaction.

This examination policy ensures the integrity, security, and compliance of all examination procedures in alignment with Awarding Body requirements. Adherence to this policy guarantees that exams are conducted fairly, securely, and efficiently.
All examinations are conducted on a digital platform; however, in the event of technical outages, paper-based exams may be utilised as a backup.
2. Examination Paper Handling and Security
Storage of Examination Papers:
- Where examination papers are used, they will be securely stored in a safe in a locked office until signed out by the designated invigilator.
Delivery of Highfield Examination Papers:
- Highfield examination papers are sent directly to the centre, and printing is not required.
3. Distribution and Handling of Examination Papers
Combination Code Procedure:
- Invigilators must text the Examinations Controller 10 minutes before the exam start time to obtain the combination code for the office containing the safe. As an additional security measure, the invigilator will also be provided with a key to the safe. Once accessed, the combination code message must be deleted immediately to prevent unauthorised access. The code is changed before each course to maintain security.
Back-Up Protocol:
- A pre-sealed envelope containing the combination code will be issued as a backup. This must be signed and sealed at issuance and returned unopened if unused.
4. Examination Room and Invigilation Standards
Test Room Log Sheet:
- Invigilators must complete the Test Room Log Sheet to document compliance with procedural standards, including room setup, environmental controls (lighting, noise, seating arrangements), and invigilator presence.
Conducting the Exam:
- The exam must begin at the prescribed time, ensuring a quiet, controlled environment free from distractions or unauthorised interruptions.
5. Post-Examination Security and Documentation
Return of Examination Materials:
- Upon exam completion, the invigilator will place all answer sheets, completed forms, and unused materials into the Examinations Safe, which must be securely locked and returned to the office immediately.
Processing and Documentation:
- The Examinations Controller will unlock the briefcase and process the completed examination papers.
Shredding of Examination Papers:
- Once all papers have been verified and processed, they will be shredded to ensure confidentiality and prevent unauthorised access.
6. Photocopying and Witnessed Handling of Examination Papers
- If photocopying facilities are available at the examination venue, it is recommended that copies of the EAS (Exam Answer Sheets) are made immediately after the exam in the presence of a witness.
- If photocopying is necessary, the examination papers must be transported within the venue with a witness present, and returned sealed in the examination returns bag in front of a witness.
- Under no circumstances should invigilators leave the exam room without sealing the examination sheets in the returns bag. However, photocopying is permitted if the papers remain within the venue and a witness is present.
- If no copying facilities are available at the venue, invigilators must not remove examination papers in an unsealed bag to be copied elsewhere.
7. E-Assessment Protocol
4titude Training Academy utilises secure e-assessments on tablets as an alternative to paper-based exams. Key features include:
- Tablet Security: All devices are configured to block internet access and prevent unauthorised applications during the exam.
- Randomised Questions: Questions are dynamically generated to minimise collusion risks.
- Seating Arrangements: Learners must maintain a 25-metre spacing to ensure privacy and fairness.
- Instant Results: Scores are available immediately after submission, providing timely feedback.
- Answer Review Feature: Candidates can flag and review responses before submitting their final answers.
This approach enhances efficiency, security, and the overall examination experience.
8. Documentation and Compliance Verification
- Compliance Sign-Off:
- All examination documents, including the Test Room Log Sheet and backup envelopes, must be reviewed for compliance.

- Check that environmental conditions, including lighting, noise levels, and seating arrangements, are suitable for examination conditions.
- Seating must be arranged to prevent any form of collusion, ensuring appropriate spacing between candidates.
- All unauthorised materials, including mobile phones and notes, must be removed from the examination area before the exam begins.
- Only authorised personnel and registered candidates are permitted in the examination room.
3. Invigilator Responsibilities and Documentation
Invigilators play a crucial role in maintaining examination integrity. Their responsibilities include:
- Completing the Test Room Log Sheet before the start of each examination to confirm adherence to setup and security standards.

- The examination must begin at the scheduled time to avoid disruptions and ensure fairness to all candidates.
- Candidates must not be admitted once the exam has commenced, except under exceptional circumstances, subject to approval.
- The examination room must remain quiet and free from distractions, with all candidates remaining seated for the duration of the exam unless permitted otherwise.
- Unauthorised interruptions must be minimised, and invigilators must ensure that the environment remains controlled throughout the session.
- Any issues arising during the examination must be recorded on the Test Room Log Sheet and reported to the Examination Controller immediately.

- Red (High Risk/New Tutor): Requires an IQA visit for every course.

Malpractice

Examples of malpractice include, but are not limited to:

- Cheating or enabling cheating during examinations.
